Your shippers never hear from a machine.
Carriers are replaceable. Shippers are the business. So the boundary isn't a setting that drifts, it's how the system is built.
What the system can and cannot touch.
A BOL with a short count or a damage note scrawled beside the signature reads as clean paperwork to anything scanning for a signature. Bill that load and you eat the claim. So we don't judge the document, we surface it to the person whose job that is.
Thirty days from silent to steady.
No long-term commitment up front. Every deployment starts with a structured fourteen-day test.
Ghost Mode and audit
Days 1 to 14
We connect to your email and TMS. It runs silently, drafting real replies to real traffic, and sends nothing to anyone. On day 14 you get a written report on your own floor: how much status traffic actually arrives, how fast it gets answered today, how long PODs really take to come back, how many loads sit unbilled waiting on paperwork, and the accuracy of every draft written.
One click
Days 15 to 30
Drafts arrive in your team's inbox, finished. One key sends them. Every message to every party still passes a human first.
Steady state
Day 30 onward
Routine carrier POD requests go out automatically. Everything customer-facing keeps its click, permanently. Exceptions always land on a person.
The guarantee: if the drafts miss the accuracy threshold we agree before Phase 1 begins, the $2,000 is refunded in full.
Connecting software to your inbox is a serious decision.
So here is exactly how it works, including the parts most vendors leave out.
How access is granted
Standard Microsoft 365 or Google Workspace OAuth, approved by your admin. We never ask for or store a password. Your provider grants access at the mailbox level, which is how these platforms work. There is no way to be granted access to only some emails.
What we actually process
Everything passes through a filter first. Only threads carrying load identifiers, status requests, or POD documents are processed and stored. Everything else passes through without being retained.
Retention
Processed email content and draft logs are held for 30 days for audit purposes, then deleted. On cancellation, stored content is deleted and we'll confirm in writing when it's done.
No model training
Your operational data and client communications are never used to train language models.
Revocation
You can revoke access from your own Microsoft 365 or Google Workspace console at any time, without asking us.
Let's see if your floor is a fit.
Twenty minutes, no deck. We'll look at your TMS setup, walk through how Ghost Mode works, and tell you plainly whether your desk has the kind of traffic this helps with.
